A well-configured calendar makes booking easy for mentees while protecting your time. Get this right and you'll see 3x more bookings.
This guide covers everything from basic time slots to advanced timezone handling and booking optimization strategies.
Accessing Your Calendar Settings
Navigate to My Account → Availability to access all calendar settings.

Timezone Configuration
Setting your timezone correctly is critical. Mentees will see your availability converted to their local time automatically.
How Timezone Conversion Works:
Your View (Mentor in Berlin, UTC+1):
"I'm available Monday 9:00 AM - 12:00 PM"
Mentee View (San Francisco, UTC-8):
"Mentor available Monday 12:00 AM - 3:00 AM"
Setting Your Timezone:
Configure your timezone at Sidebar → Settings
- Auto-Detection: System automatically detects your timezone when you first set up
- Traveling? Update your timezone temporarily when traveling
- Daylight Saving: System automatically adjusts for DST changes
Important!
Always set times in YOUR timezone. The platform handles all conversions automatically. Never try to manually calculate timezone differences - you'll create confusion!
Adding Your Available Time Slots
Your recurring weekly availability tells mentees when they can book you. Be strategic about when you offer sessions.
Adding Slots Step-by-Step:
- 1 Click Time Blocks: Click on the calendar grid to select time blocks (usually 30-minute or 1-hour slots)
- 2 Select Multiple Slots: Hold Shift and click to select multiple consecutive blocks
- 3 Repeat for Each Day: Add availability for each day of the week
- 4 Remove Slots: Click on highlighted slots again to remove them
- 5 Save Changes: Click "Save Availability" when done
Availability Strategy Tips
- Spread it out: Offer times across different days and times to accommodate global mentees
- Morning & evening: Mix early and late slots for different timezones
- Buffer time: Leave 15-30 min between sessions for notes and breaks
- Start small: Begin with 5-10 hours/week, increase as demand grows
Example Weekly Schedule:

Booking Window Settings
Control how far in advance mentees can book sessions. This protects you from last-minute bookings and gives you planning flexibility.
Minimum Days Ahead
How soon can mentees book? Prevent last-minute bookings.
Recommended Settings:
- • 24 hours (1 day): Most common - gives you prep time
- • 48 hours (2 days): Better for busy schedules
- • Same day (0 days): Only if you're very flexible
Maximum Days Ahead
How far out can mentees book? Manage your long-term schedule.
Recommended Settings:
- • 60 days (2 months): Most common - good balance
- • 30 days (1 month): If you have uncertain schedule
- • 90 days (3 months): For very stable schedules
Pro Tip
Start with min 24 hours and max 60 days. Adjust based on your booking patterns. If you get too many last-minute bookings, increase minimum. If your calendar fills up too far in advance, reduce maximum.
Blocking Specific Dates
Block specific dates for vacations, holidays, or busy periods. These override your recurring availability.
How to Block Dates:
- 1 Go to "Excluded Dates" section in availability settings
- 2 Click "Add Excluded Date"
- 3 Select date or date range from calendar picker
- 4 Optional: Add a reason (e.g., "Holiday", "Conference") - only you see this
- 5 Save - mentees can no longer book those dates
Common Blocked Dates:
🎄 Holidays
Christmas, New Year, Thanksgiving, etc.
✈️ Vacations
Personal trips, family time
💼 Work Conflicts
Conferences, busy projects, deadlines
Plan Ahead!
Block dates as soon as you know about them. This prevents mentees from booking times you'll need to cancel later. Frequent cancellations hurt your reputation!
Advanced Calendar Settings
Maximum Sessions Per Day
Limit how many sessions can be booked on a single day to prevent burnout.
Example: Set limit to 4 sessions/day
Even if you have 6 hours available, mentees can only book 4 sessions maximum.
Buffer Time Between Sessions
Automatically add break time between back-to-back sessions.
Example: Set 15-minute buffer
If a session ends at 10:00 AM, next available slot is 10:15 AM (not 10:00 AM).
Session Duration Handling
If you offer different session lengths (30min, 60min), the system automatically blocks the right amount of time.
Example: Mentee books 60-min session at 2:00 PM
System automatically blocks 2:00 PM - 3:00 PM (plus buffer if set).
Calendar Optimization Strategies
